Abstract:

Academic conferences are important activities regularly organized by departments, faculties, and 

universities to exchange experiences and present new developments in the field of scientific research. 

Organizing academic conferences requires steps and rules that must be mastered by anyone responsible 

for organizing the event. Recently, there has been a growing reliance on conference organizing companies, 

some of which carry out this task with full professionalism, while others require significant improvement. 

However, in both cases, the primary responsibility for the academic conference remains with the 

organizing department, faculty, or university. The organizing team must be adequately familiar with the 

rules of organizing academic conferences and the potential mistakes that could occur during the 

organization process, which could impact the success and effectiveness of the event. This knowledge is 

essential to avoid such mistakes in future events, leading to greater success and effectiveness in these 

academic conferences. Even when the organization is outsourced to a company, the planning, overall 

supervision, and decision-making should remain in the hands of the conference organizing team from the 

department, faculty, or university. The role of the organizing companies should be limited to assisting and 

implementing the vision, mission, and plan for which the university is holding the conference .
